What an IT AMC Actually Covers: A Plain-English Guide for Small Businesses

An Annual Maintenance Contract can save a small office a lot of downtime, or it can be a piece of paper that covers nothing you need. Here's how to read one, what to insist on, and the questions to ask before you sign.

If you run an office with five, fifteen or fifty computers, you already know the pattern: things work fine for months, and then three machines slow to a crawl the week your GST filing is due. An Annual Maintenance Contract (AMC) is meant to stop that pattern. But “AMC” means very different things depending on who writes it.

This guide explains what a good IT AMC covers, where the fine print usually hides, and how to decide which type is right for your business.

Comprehensive vs. non-comprehensive AMC

This is the first and most important distinction.

  • Non-comprehensive AMC covers labour, visits, troubleshooting and preventive maintenance. If a part fails (a hard disk, a power supply, a keyboard), you pay for the part separately. The yearly fee is lower.
  • Comprehensive AMC covers labour and the replacement of most failed parts. The yearly fee is higher, but your costs become predictable. Consumables (toner, batteries, cables) and physical or liquid damage are almost always excluded, so check the list.

Rule of thumb: if your machines are older than three years or are used for 10+ hours a day, comprehensive usually pays for itself. If your fleet is new and still under manufacturer warranty, non-comprehensive is often enough.

What a good AMC should include

When you compare proposals, look for these items in writing:

  1. A clear asset list. Every desktop, laptop, printer and network device covered, with serial numbers. If it’s not on the list, it’s not covered.
  2. Defined response time. “Same day” or “within 4 business hours” is a commitment. “As soon as possible” is not.
  3. Scheduled preventive maintenance. Typically quarterly visits for cleaning, thermal checks, OS and driver updates, antivirus status, and disk health checks. This is what actually prevents breakdowns.
  4. Remote support. Many issues (printer drivers, email setup, software errors) can be fixed in minutes remotely, without waiting for a visit.
  5. Standby equipment. If a machine has to go to the workshop, will you get a replacement so the employee can keep working?
  6. Data handling. Who is responsible for backups before a repair? A good provider will back up first, or at least insist that you do.
  7. A service log. A record of every call, what was done, and which parts were replaced. This is invaluable when you decide whether to repair or replace a machine.

Common exclusions to watch for

  • Physical damage, liquid spills and power-surge damage
  • Software licences (Windows, MS Office, antivirus subscriptions)
  • Data recovery from failed drives
  • Consumables such as toner, ink and CMOS batteries
  • Equipment moved to a new location without notice

None of these exclusions is unreasonable, but you should know them before something goes wrong, not after.

Questions to ask before you sign

  • How many technicians will be familiar with our setup, and will the same person usually visit?
  • What happens if you can’t fix the issue on-site?
  • Are genuine or compatible spares used for replacements?
  • Can we add or remove machines mid-contract?
  • What does renewal look like, and how is the fee revised?

Is an AMC worth it for a small office?

For most businesses with more than a handful of computers, yes. The real cost of IT problems is rarely the repair bill. It’s the hours your team loses waiting. A well-written AMC turns unpredictable emergencies into scheduled maintenance and a single phone number to call.
