Rent or Buy? Choosing Laptops and Desktops for Projects, Events and New Teams

Hiring for a three-month project? Running a training workshop or an exam? Renting computers can be smarter than buying. Here's a simple way to decide.

When a business needs more computers, the default instinct is to buy them. But for many situations, renting is cheaper, faster and far less hassle. And when you do buy, a quality refurbished machine is often a better deal than a new entry-level one.

Here’s a simple framework for deciding.

When renting makes sense

Short-term projects. If you’re bringing on contractors or a temporary team for a few weeks or months, renting avoids a capital purchase you’ll need to resell or store afterwards.

Events, trainings and exams. Workshops, product launches, recruitment drives and online assessments often need dozens of identical machines for a few days. Rental gets you a uniform, pre-configured fleet delivered and collected.

Waiting for a purchase. Corporate procurement can take weeks. Rental bridges the gap so new hires aren’t sitting idle.

Uncertain growth. Startups and new branches that aren’t sure what headcount will look like in six months can rent now and decide later.

Hardware-heavy, short-lived needs. A high-spec workstation for a single video or design project is expensive to buy and may sit unused afterwards.

When buying makes sense

  • The machine will be used for more than 12–18 months.
  • You need specific software licensing tied to owned hardware.
  • The user handles sensitive data and you want complete control of the device lifecycle.

For long-term needs on a budget, consider certified refurbished laptops. Business-grade models from a few years ago (Dell Latitude, HP EliteBook, Lenovo ThinkPad and similar) are built to last, are easy to repair, and often outperform new budget consumer laptops at the same price.

What to check in a rental agreement

  1. Configuration: processor, RAM, SSD size, and the OS and software that come pre-installed.
  2. Delivery, setup and pickup: are they included?
  3. Replacement policy: how quickly is a faulty unit swapped?
  4. Damage terms: what’s considered normal wear vs. chargeable damage?
  5. Data wiping: how will your data be erased when the machines are returned? Ask for this in writing.
  6. Minimum period and extensions: can you extend week-by-week or month-by-month?

What to check when buying refurbished

  • Battery health (ask for the battery report or test it yourself)
  • SSD rather than HDD storage
  • Warranty from the seller, even a few months shows confidence in the product
  • A genuine, activated Windows licence
  • Physical condition of hinges, ports, keyboard and screen
